About Quoter Integration

TBS has integrated with the Quoter application to allow customers, payment methods, and charges from approved quotes to be automatically imported into TBS. Once properly configured, you will have a seamless flow of data from Quoter to TBS. The instructions below cover the setup process to synchronize Quoter with your TBS Groups and Charge Inventory.

Configuring Quoter Templates

Link Template to TBS Group - There are two methods for linking a template to your TBS Groups:

  • Option 1 - Create template names that start with Quoter Template Prefix on your TBS Group. When using this method, TBS will look at all text prior a dash in the name, so a dash can be used to add additional text to the template name.

    • Example: GRP1 - Quoter Template for our Group #1 in TBS

  • Option 2 - Add a TBS Group custom field to the Custom Fields section of Quoter. This should be a dropdown that includes a list of your TBS Group abbreviations. If using this option, this field should be set to required and will need filled out each time a template is used to create a quote.

 

 

Linking Quoter Items to TBS Charges

LOCATION: Quoter Dashboard / Items / Items / Edit Item

TBS uses the Code field on items to match on TBS charge or package. All items must have a code that corresponds to a TBS charge or package for the items to be added to the customers in TBS

TBS Charges - To link a Quoter Item to a TBS charge, the Code field in Quoter must match the TBS Charge ID field.

  • To see a list of all Charge IDs in TBS, you can go to Setup / Products / Charges / Charges & Plans Inventory and select the General Charges column

TBS Packages - To link a Quoter Item to a TBS package, the Code field in Quoter must have a "P:" and then the TBS Package Name.

  • The P: is required to indicate a package is being added instead of a charge.

  • To see a list of all Package Names in TBS, you can go to Setup / Products / Charges / Packages

 

 

Add Quoter Integration Entries for TBS

LOCATION: Quoter Dashboard / Settings / Integrations / New Integrations

To allow Quoter to send information to TBS, there are two entries that must be added to the Quoter Integrations. The steps below walk through adding these new entries.

Integrations for Quotes - Add a New Integrations with the below settings

  • Label - User defined label in Quoter for this integrations, example Company Name (Quotes)

  • Enabled - Yes

  • Applies to - Quotes

  • Format - JSON

  • URL - This is the URL provided by Precision. If you have not received this URL, please reach out to your customer support representative

  • Hash Key - User defined string of letters and numbers. The Hash Key is required by TBS, and the same Hash Key must be used for Integration of Quotes and Integration of Payments

 

Integrations for Payments - Add a New Integrations with the below settings

  • Label - User defined label in Quoter for this integrations, example Company Name (Transaction)

  • Enabled - Yes

  • Applies to - Payments

  • Format - JSON

  • URL - This is the URL provided by Precision. If you have not received this URL, please reach out to your customer support representative

  • Hash Key - User defined string of letters and numbers. The Hash Key is required by TBS, and the same Hash Key must be used for Integration of Quotes and Integration of Payments

 

 

TBS Setup

TBS Group Setup

LOCATION: Setup / Company Settings / Groups / select a Group

For customers to successfully import into TBS, quotes must match on a TBS Group. The two options for linking on group can be found in the Configuring Quoter Templates section. When using Option 1 (template name), the Quoter Template Prefix field will be used to match the naming structure in Quoter. If using Option 1 and the Quoter Template Prefix field is not filled out correct, the customer will not import. Option 2 (custom fields dropdown) will use Group Abbreviation and does not require the Quoter Template Prefix field to be filled out.

 

 

TBS Company Setup

LOCATION: Setup / Company Settings / Companies / select a Company

From the Company page in TBS, there are two configurations for the Quoter integration. They are in the Integrations section when editing the Company.

  1. Setup Recurring with Quoter Payments - If checked, the payment method for the new customer will automatically be set to recurring in TBS
  2. Quoter Hash Key - Key used during Quoter New Integrations setup. This key must match the Hash Key used for the Quoter Integrations to allow the two applications to communicate

  3. Quoter URL - URL for Quoter to allow PDF of quotes to be added to customer documents section in TBS

 

 

TBS Notifications

LOCATION: Setup / Notifications / Emails / Distribution Lists / Quoter Distribution List

The Quoter Distribution List is used to determine who will receive emails related to:

  • Issues when creating the customer in TBS

  • Unable to match the Quoter item code to a charge or package in TBS

  • Price on an item in Quoter that links to a package doesn't match the package price in TBS

  • Quoter linked to a package that does not have any details assigned in TBS

Field on the Setup, Company Settings, Group, Group page. Used to match new quote to a Group in TBS. If blank, Group Abbreviation will be used.
